1. Information We Collect

We may collect information about you in various ways, including:

• Personal Data: Name, email address, and other information you provide when registering or interacting with the Services.
• Coaching Data: Your programming, client data, training logs, and performance metrics that help you manage your coaching business.
• Usage Data: Information automatically collected such as device type, operating system, access times, and interactions with features.
• Payment Data: Information necessary to process subscriptions. We use third-party payment processors and do not store full payment card details.

2. How We Use Your Information

We use the information we collect to:

• Create and manage your account
• Provide AI-powered coaching tools
• Process your subscription payments
• Improve and optimize the Services
• Communicate with you about updates and features
• Ensure compliance with our Terms of Service

3. Data Sharing and Disclosure

We do not sell your personal information. We share, transfer, or disclose it only in the following circumstances:

• Service Providers: Cloud hosting and infrastructure providers (such as Amazon Web Services) that store and process data solely on our behalf to operate the Services, under confidentiality obligations.
• Payment Processors: Third-party payment processors that handle subscription payments on our behalf.
• AI Service Providers: Our AI-powered coaching tools process fitness data created within the platform (such as training programs, workouts, and exercise data) using third-party AI model providers under terms that prohibit the use of this data to train their models. Google user data is never shared with AI service providers (see Section 4).
• Legal Requirements: When required by law, such as in response to a valid legal process, or to protect the rights, property, or safety of CoachLogik, our users, or others.
• Business Transfers: In connection with a merger, acquisition, or sale of assets, in which case you will be notified of any change in ownership or use of your personal information.
• With Your Consent: When you have given us explicit consent to share your information.

4. Google User Data

CoachLogik offers an optional Google Calendar integration for coaches. When you connect your Google account, we access the Google Calendar API under the minimal scopes required (calendar.events, calendar.freebusy, userinfo.email, openid) to:

• Create, update, and cancel coaching-session events (including Google Meet links) on your own calendar at your request;
• Check your availability via Google's FreeBusy API, which returns only busy time intervals with no event details;
• Display the email address of your connected Google account.

The Google user data we store is limited to the event IDs and Google Meet links of events created through CoachLogik, your connected account email address, and encrypted OAuth tokens. Free/busy information is used transiently for conflict checks and is never stored. You can disconnect your Google account at any time from your profile settings, which deletes the stored tokens; you may also revoke CoachLogik's access at any time via your Google Account security settings.

We do not sell Google user data. We do not share, transfer, or disclose Google user data to any third party, except to infrastructure service providers (such as Amazon Web Services) that store and process data solely on our behalf to operate the Services, when required by law, or with your explicit consent. Google user data is never shared with advertisers, data brokers, or analytics providers, and is never transferred to or processed by any artificial intelligence or machine learning model or third-party AI service. Our AI-powered coaching tools operate exclusively on fitness data created within the CoachLogik platform and have no access to Google user data.

CoachLogik's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements. Google user data is not used to develop, improve, or train generalized or foundational artificial intelligence and/or machine learning models.

5. Data Security

We use administrative, technical, and physical security measures to protect your personal information. While we take reasonable steps to secure your data, no method of transmission over the Internet is 100% secure.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you the Services, and afterwards only for as long as necessary for the purposes set out in this Privacy Policy, including to comply with our legal, accounting, or reporting obligations. To determine the appropriate retention period, we consider the amount, nature, and sensitivity of the data, the potential risk of harm from unauthorized use or disclosure, and the purposes for which we process it.

You may request deletion of your account and associated personal data at any time by contacting us at support@coachlogik.com. When you delete your account or request deletion, we will delete or de-identify your personal information, except where we are required to retain it to comply with legal obligations, resolve disputes, or enforce our agreements. Residual copies may persist in our backups for a limited period before being purged.
